Refunds and cancellations

Eligibility

Refunds are available where we have not yet begun paid drawing, or where we cancel because we cannot meet an agreed handover date for reasons on our side. Once a figure list has been issued, fees reflect work already done rather than a full return of the deposit.

Timeframe

Ask for a refund or a change of date in writing to hello@service-trailline.click as soon as you know the report window has moved. We respond within five working days.

Full refund

If you cancel more than ten working days before the agreed start week, and we have not issued a figure list, the deposit is returned in full. If we cancel the slot, you may choose a full refund or a new week.

Partial refund

If you cancel after the figure list or first drafts exist, we invoice for time already spent at the rates in the estimate and refund any unused balance of sums paid. Caption editing already completed is treated as time spent.

Non-refundable items

Travel booked at cost for an in-person mapping session is non-refundable once purchased, unless the carrier refunds us. Room hire arranged at your request is treated the same way.

Process

Write to hello@service-trailline.click with the commission name, the grant title, and whether you wish to cancel or move the week. We confirm the sum in writing before any money moves.

Processing time and method

Approved refunds are paid by the same method as the original transfer, usually within 14 working days of agreement. We do not hold card details on this website.

Cancellation and rescheduling

You may reschedule once, subject to a later drawing week being free. A second move is treated as a cancellation of the original slot plus a new estimate. If a funder date jumps forward, we will say whether a rushed window is possible; if it is not, the ordinary cancellation rules apply.

Deposits

The 40% deposit reserves the week. It is credited to the final invoice. It is not a separate product.

No-shows

If a mapping session is missed without 48 hours’ notice, the session fee is charged. We will still issue a short note from the documents already sent, but the half-day itself is not repeated without a new fee.

Work already started

Draft figures remain our working papers until the balance is paid. If you cancel mid-pack, you do not receive licence to use unfinished figures in a funder annex.

Materials

Large-format printing that you asked us to order is charged at cost and is not returnable once printed.
